25 Tips About As-built Drawings

As-built drawings are necessary for almost every project and extremely useful for future reference. Recording and reviewing as-built drawings during construction is the responsibility of the general contractor during the construction process.

As-built drawings require collection of data and information as the job progresses to capture any and all changes and modifications during construction. Here are a few highly effective as-built drawings tips that can save you money and improve your project efficiency tremendously.

Tip 1. Don’t expect the architect or designer to stamp and sign the drawings. These professionals are not ultimately responsible or paid for changes during the installation process or field directives.

Tip 2.  Do not use generic words like ‘similar’ and ‘equivalent’. Replace them with the right and detailed information that is part of the project.

Tip 3. To draw and add detailed design information, use the same scale in the as-built as the original design drawing scale.

Tip 4. It is recommended that you do NOT remove original dimensions and measurements. As-built drawings must include revisions by crossing out or using an “X” over the original dimension. Then write down the new value in a cloud to depict the modification.

Tip 5. Add fabrication, erection, installation, and shop drawing information to the as-built drawing, if the contract allows.

Tip 6. All new equipment and material used, must contain location specification, sizing, material type and other relevant details.

Tip 7. If specialty equipment is installed by other contractors, that information should be identified as part of the as-built drawings.

Tip 8. Underground utilities should include have information on elevation, material type, ground cover, depth, diameter, and flow direction.

Tip 9. Include photos and information from all obstructions in the area.

Tip 10. Every note and document must have stamped time and date when the note was added to the drawing.

Tip 11. Ensure all drawings are dated after the red-lines are complete. Consistency of the date and location should be maintained to ensure everyone is aware of the revision date.

Tip 12. Drawing and design details must be stamped and sealed by the person responsible for external design.

Tip 13. All notes should be added within a specific sheet in one single drawing, to facilitate the as-built completion and to reduce mistakes.

Tip 14. Sometimes, sheets need to be added to the drawings. In that case, ask the as-built service provider to give you a sequential number according to the drawing set and to use the same scale and legend as the one used in the original design.

Tip 15. As-built drawings should be available on-site at all times during the construction.

Tip 16. As-built drawings should be under the control of one single person managing the access to the drawings.

Tip 17. Use colored pencils for the following –

  • Red indicates deleted items
  • Green reflects additions or revisions
  • Blue indicates specific information or details

Tip 18. Explain changes using clear lettering.

Tip 19. Use the same legend as in the original drawings.

Tip 20. Shop drawings and other information can be added as appendixes with a note in the appropriate section.

Tip 21. If no changes are needed in a specific drawing, mark them as, as-built.

Tip 22. Add an index sheet to the final as-built package.

Tip 23. Add contractor’s name, date and clearly identify drawings as ‘red-line drawings for as-built preparation purposes only’.

Tip 24. Scan and save the as-built drawings into the cloud for reference.

Tip 25. Document project completion and submission date.
